Overview
The Desk Status Report shows a live inventory of every desk in Microsoft Places, grouped by building, floor, and section. Data is loaded fresh on each visit or when you click Refresh — nothing is cached between sessions.
Report structure
Desks are displayed in a four-level hierarchy matching your Microsoft Places configuration:
- Building — the physical building. Click the header to expand or collapse.
- Floor — a floor within the building.
- Section — a named zone or area on the floor.
- Desk — the individual desk row showing its mode and any additional info.
Use Expand all / Collapse all in the filter bar to control all levels at once.
Desk modes
Each desk is assigned one of four modes in Microsoft Places.
Reservable
Can be booked in advance via Teams or Outlook.
Drop-in
First come, first served — no advance booking required.
Assigned
Permanently assigned to a specific person. The Info column shows their email address.
Unavailable
Out of service. The Info column shows the reason if one has been set.
Filtering & search
- Search — matches desk name, section, floor, building, and the Info column. Case-insensitive.
- Building / Floor / Section — cascading scope filters. Each selection narrows the next dropdown.
- Mode — show only desks of a specific mode.
- Clear — resets all filters and search at once.
All active filters are combined — buildings, floors, and sections with no matching desks are hidden automatically.
Export CSV
Click Export CSV to download a file of all desks — not just the current filtered view. Columns included:

The file is UTF-8 encoded so it opens correctly in Microsoft Excel without an import wizard.
Permissions required
The signed-in account must have admin consent granted for the following Microsoft Graph permissions:
User.Read — identifies the signed-in user
Place.Read.All — reads buildings, floors, sections, and desks from Microsoft Places
Place.Read.All requires a tenant administrator to grant consent — individual users cannot self-consent to this permission.
Troubleshooting
- No desks appear — check that admin consent has been granted for
Place.Read.All in your tenant.
- Data looks out of date — click Refresh in the topbar to reload live data from Microsoft Places.
- Access denied on sign-in — your organisation may not yet be enabled for Places Live. Contact AVI-SPL to arrange access.
